◆ At a glance

The whole workshop, on one screen

Every card below is a real module in the application — not a promise on a roadmap.

The day's planner, on real bays

Appointments are blocks on lifts, not rows in a table. Drag a car to another bay or another time, and overlaps refuse themselves — on screen and on the server.

Notifications that reach you

A bell with sound in the app and push notifications on the phone, even with the app closed. One click takes you straight to the source of the problem.

AI assistant for the mechanic

Claude, limited to the car on the lift: tightening torques, diagrams, diagnostic steps — with cited sources.

Estimates and invoices

The estimate is approved from the portal, the invoice is born from the estimate, the payment is recorded in two taps.

Two locations, one office

The calendar, appointments and reports are separated by location from one selector — nothing gets mixed up.

The customer checks for themselves

A secure link, no password, with the repair stage in real time — sent by SMS. The workshop phone rings less often.

Shop floor – office chat

Messages on the job, with a buzz that cuts through the noise of the shop floor when it is really urgent.

Honest timesheets and reports

Hours worked are timed automatically at every start; reports come out as PDF or CSV, broken down by day.

◆ The difference

What changes in the workshop from the first week

We do not ask you to work differently. We only ask you to stop keeping the workshop in your head, on paper and on WhatsApp.

Without xkfz

  • ✕Paper job sheets, lost phone calls, forgotten appointments
  • ✕The customer calls three times to ask "is it ready?"
  • ✕Labour times estimated from experience, never checked
  • ✕Fleet services kept in an Excel file that only one person opens
  • ✕Parts requests on WhatsApp, approved by word of mouth
  • ✕The car's history — somewhere in a folder, if it still exists

With xkfz

  • ✓Every check-in becomes a job sheet, with operations from a 179-item catalogue
  • ✓The customer sees the stage for themselves: received → in repair → ready for pickup
  • ✓Estimated time against time worked, started and stopped by the mechanic on each car
  • ✓Fleet due dates tracked automatically, with an email and SMS notification before the deadline
  • ✓The parts request reaches the office with code, quantity and urgency, and is approved with one click
  • ✓Full history by VIN and plate, with who worked and how long it took

◆ The workflow

A car's journey through your workshop

From the customer's phone call to the paid invoice — every step leaves a trace in the application, not in someone's head.

◆ Modules

The whole workshop, from appointment to invoice

Appointments and calendar

Day, week and month views, with each mechanic's load in plain sight. Move an appointment by drag & drop and see at once what is left uncovered.

  • Uncovered queue — appointments without an available mechanic come to the front
  • Workshop opening hours, shifts per mechanic, leave and absences
  • The car moves between bays on the workshop board, with five bay types

Job sheets and catalogue

Pick the operations from a standard catalogue with a time and rate for each, delivered with the workshop. The check-in sheet records mileage, fuel level and existing damage.

  • Estimate → job sheet → invoice, in the same file
  • Photos at check-in, attached to the job sheet
  • Scan the registration certificate and the fields fill themselves in: VIN, make, model, engine, kW

Mechanic panel

The mechanic sees only their own jobs, only for the current day. Starts the stopwatch when the car goes up on the lift, stops it when it comes down — and their day stays on record: start time, break time, finish time.

  • Start, break and finish with each one's time and the reason for stopping
  • Parts request with code, quantity and urgency
  • Conversation with the office on the car being worked on, and a request for more time

◆ The application's structure

Four interfaces, the same data.

The office, the mechanic, the customer and the fleet each work in their own panel — on the same database, in real time. Here is exactly what each contains.

  • Full history and invoices
  • The workshop's recommendations, when due
  • Direct chat with the workshop
  • Email and SMS notifications
Companies

  • Drivers and persons in charge per vehicle
  • Expenses per car and per month
  • Reports and data export
  • Automatic reminders for MOT, insurance, services
One database, four views

◆ Platform journal

What we built, what comes next.

Every module, with what it received so far and what is coming. Kept up to date by the team, in four languages.

Portal

Client portal

  1. PlannedSign in with Apple, switched on

The Apple door is built; it opens once we have the Apple Developer account and its keys in the platform panel.

  2. DoneAt your private mechanic: conversation, advice, a personal link

If your mechanic works alone, you write to them straight from every job — „Talk to the mechanic” — and their recommendations reach you at once, with no office to approve them. They open your account at the car: you get a link of your own on WhatsApp or SMS, your details already filled in; choose a password and you are in the portal.

  3. DoneNotifications on your phone, with the app closed

From the Notifications page you turn on notifications on your phone or computer; on iPhone, after adding XKFZ to the Home Screen. One click takes you straight to their source.

  4. DoneAn AI assistant in the chat, outside opening hours

When the workshop is closed, the customer gets an answer in the chat right away from the workshop's AI assistant: the status of their repair, the hours, the address, what the workshop does, how to ask for a booking. What it does not know it leaves to the workshop, which sees the conversation when it opens. The workshop turns it on under Settings » Opening hours and gives it notes in its own words.

  5. DoneBookings from the portal

The customer asks for a booking for their car, the workshop sets the day and the hour, and the answer arrives on the bell, by email and by SMS.

  6. DoneYour cars, from the portal

Add a car by photographing the registration certificate or typing the details; remove it from the portal and, if the workshop never worked on it, delete it for good.

  7. DoneAn account with Google, Apple or your phone

Sign up or sign in with Google, Apple or your phone number; a welcome step links you to your workshop.

  8. DoneRegistration link and QR code

Every workshop has its own registration link for customers and a front-desk poster with a QR code.

  9. DoneFollow the repair without an account

A secure link, received by SMS or email, shows the repair's progress without signing in.

  10. DoneThe workshop's recommendations

What the mechanic recommends for your car, approved by the workshop, due in kilometres or months.

  11. DoneMessages with the workshop

A conversation thread per car, with photos, between the customer and the workshop.

Office

Workshop administration

  1. In progressEmail and SMS to customers, live

The sending queue is ready; next comes configuring the email and SMS providers in the platform panel.

  2. PlannedAutodata integration for workshops

The workshop links its Autodata subscription to XKFZ: labour times, technical data and the car's service schedules go straight into the job sheet and the estimate, with nothing copied by hand.

  3. PlannedJob assistance straight from the Autodata book

The assistant at the lift answers from the Autodata data of the car on the open job: repair procedures, tightening torques, fluid capacities, diagrams and service intervals, each quoted with its source.

  4. DonePrivate mechanic: the customer taken at the car

Photograph the registration certificate, we read the holder's name and the car's details, add the phone number — and the customer is on the list with their own registration link: send it by WhatsApp, SMS or email, or show the QR code on the spot. On their car you can file the certificate, take it out or bring it back, and from any conversation you book with one button.

  5. DonePrivate mechanic: the customer's conversation on the job, advice with no desk

The job page carries the conversation with the customer — messages and photographs — instead of the thread with an office that a private garage does not have. The recommendations you write go straight to the customer, and your notifications show only what comes from customers and the platform, never your own moves.

  6. DoneThe office and the mechanics, told on the phone

Booking requests, withdrawals, part requests, leave, extensions and a mechanic locked out of their account reach the administrator's phone as a notification; the mechanic gets jobs and messages the same way. Turned on from the Notifications page, per device.

  7. DoneBooking requests on the calendar

Requests from the portal sit above the day's board; approve them with a day, an hour and a duration, or refuse them with a reason the customer reads.

  8. DoneA readable activity log

Every action in the workshop's log has a clear label, in the four languages.

  9. DoneMore than one administrator

A workshop can have a second administrator, with a password generated once.

  10. DonePartner API

Fleet companies send repair requests through the API, with revocable keys and signed status notifications.

  11. DonePlan limits, enforced

Mechanics, active customers, jobs per month and locations are counted by the server, with a refusal explained in the forms.

  12. DoneEstimates and invoices from the app

Create and edit estimates and invoices in the app; issuing consumes stock and numbering runs per series.

  13. DoneThe email and SMS queue

Customer notifications wait in a visible queue and go out automatically once an email or SMS provider is configured.

  14. DoneThe day's board, post by post

The day's calendar by lift: drag bookings onto a post, see leave, cover what is left uncovered.

  15. DoneAI assistant at the lift

The mechanic asks about the car on the lift; the assistant searches and cites its sources (MASTER plan).

Platform

The platform

  1. PlannedAn address of its own for every workshop

apex.xkfz.ro instead of xkfz.ro/apex, once the domain moves to Vercel's nameservers.

  2. DoneThe private mechanic: a garage for one person

XKFZ gets a second kind of garage: the private mechanic, invited by the platform, who is both administrator and mechanic. They work with customers through bookings, chat and notifications, with a job in three steps — Booked, In progress, Finished — and no quotes, invoices, stock or team. A customer's first steps, the photographed certificate and the week calendar come with it.

  3. DoneOne AI provider: OpenAI

The bay assistant (with web search and sources), the customers' chat assistant, the certificate reader and the automatic translations all run on OpenAI, with one key and one model set from the platform panel. Anthropic was removed.

  4. DoneThe platform journal

News appears in the workshops' and customers' dashboards, for their module, and here on the front page — editable from the platform panel.

  5. DoneThe language follows the country

The site opens in the language of the visitor's country; an account keeps the language it chose, and the subscription shows in its own currency.

  6. DoneFour languages

The whole interface in Romanian, English, Italian and German, editable from the platform panel.

  7. DoneThe front page

A new public page: the product, its structure, prices and frequently asked questions, in four languages.

  8. DoneSecurity audit

Ten phases: rate limits, verified uploads, a mandatory audit trail, retention and GDPR export.

  9. DoneMaintenance mode

A switch closes the public shop window while work is going on; the application stays open to existing accounts.

  10. DoneEmail, SMS and social sign-in keys

Email, SMS and OAuth providers are configured from the platform panel, with a test before saving.

  11. DoneTwo designs

CLASSIC and AURORA, switched from the platform panel for every workshop.

◆ Fleet module

Companies with a vehicle fleet keep their cars here

The company registers its fleet, gets its own panel and never misses a due date again. Intervals are tracked by mileage and by date, and the notification goes out before the deadline.

  • — Fleet administrator panel, separate from the workshop, with drivers and expenses
  • — Email and SMS alerts before every due date
  • — Mileage, service history and CSV export for the whole fleet

◆ AI agents

Three places where AI actually works

Not a generic chat glued onto the application. Three functions that do a specific job, each on its own data.

For the mechanic

Job assistant

Answers only about the car it is working on right now: the make, the model and the repairs on the job sheet. Searches technical sources and tells you where the answer came from.

"What is the torque for the flywheel bolt on the 1.6 TDI?"

At check-in

Reading the certificate

Photograph the registration certificate and the fields fill themselves in — VIN, make, model, first registration, engine, kW. Nothing is saved until you check.

17 characters of VIN, once, correctly

For the platform

Interface translation

The application's texts are translated automatically into English, Italian and German, from the administration panel. Each user picks their own language.

◆ Questions

What workshops ask us

A complete platform for auto workshops and fleets: repairs, customers, invoices, appointments and deadline alerts in one place.

Yes. The FREE plan never expires and needs no card. It covers the basics for a small workshop or a fleet of up to 5 vehicles.

Romanian, English, German and Italian — including the notifications sent to customers and drivers.

Yes. Every customer gets a portal to follow their car's status, approve estimates online and download invoices.

They get a link, see the work and prices, and press Approve or Decline. The decision is recorded with date, time and IP — proof of authorisation.

No. The mechanic interface is built for phones, with big glove-friendly buttons: START, PAUSE, FINISH.

Each vehicle gets its deadlines by registration country: ITP in Romania, HU/TÜV and AU in Germany, Revisione in Italy. You get emails 30, 14, 7 and 1 day ahead.

Yes, from CSV: upload, preview, import. Every row is validated on its own and the deadlines are computed automatically.

Both — the alert fires on whichever comes first. We also project the date the car hits the mileage from its real driving rate.
